Terms of Service

1. Acceptance of Terms

By creating an account or using Qonvio ("the Service"), you agree to these Terms of Service. If you are using the Service on behalf of a business, you represent that you have authority to bind that business to these terms.

2. Description of Service

Qonvio is an AI-powered receptionist platform that automatically responds to inbound customer messages (via WhatsApp, SMS, and other channels) and books appointments into your connected calendar. The Service includes:

  • AI-powered automated responses to customer inquiries
  • Appointment scheduling via Google Calendar integration
  • Unified inbox for managing customer conversations
  • Contact management and conversation history

3. Account Registration

You must provide accurate and complete information when creating an account. You are responsible for maintaining the security of your account credentials. You must notify us immediately of any unauthorized access.

4. Acceptable Use

You agree not to:

  • Use the Service for spam, unsolicited messaging, or any illegal activity
  • Misrepresent your identity or business
  • Interfere with or disrupt the Service infrastructure
  • Attempt to access other users' data
  • Resell or redistribute the Service without written permission
  • Use the Service in a way that violates WhatsApp, Google, or any third-party platform policies

5. AI-Generated Responses

The AI receptionist generates responses based on the business information and instructions you provide. While we strive for accuracy, AI responses may occasionally contain errors. You are responsible for:

  • Configuring your AI settings, services, and business hours accurately
  • Monitoring conversations and using the human handoff feature when needed
  • Reviewing booked appointments and correcting any errors

Qonvio is not liable for missed appointments, incorrect bookings, or miscommunications caused by AI-generated responses.

6. Third-Party Integrations

The Service integrates with third-party platforms including Google Calendar, WhatsApp (via Evolution API), and OpenAI. Your use of these integrations is subject to the respective third-party terms of service. We are not responsible for any changes, outages, or issues with third-party services.

7. Payment and Billing

Paid plans are billed in advance on a monthly or annual basis. All fees are non-refundable except as required by law. We reserve the right to change pricing with 30 days' notice. Free trial periods, if offered, may be limited in features or duration.

8. Data Ownership

You retain ownership of all data you provide to the Service, including business information, conversation content, and customer data. You grant Qonvio a limited license to use this data solely to provide and improve the Service. See our Privacy Policy for details on data handling.

9. Service Availability

We aim to provide 99.9% uptime but do not guarantee uninterrupted service. We may perform scheduled maintenance with reasonable notice. We are not liable for downtime caused by factors beyond our control.

10. Termination

You may cancel your account at any time. We may suspend or terminate your account if you violate these terms, fail to pay fees, or if required by law. Upon termination, your data will be deleted within 30 days, except as required for legal compliance.

11. Limitation of Liability

To the maximum extent permitted by law, Qonvio shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising from your use of the Service.

12. Indemnification

You agree to indemnify Qonvio against any claims, damages, or expenses arising from your use of the Service, your violation of these terms, or your violation of any third-party rights.

13. Changes to Terms

We may modify these terms at any time. Material changes will be communicated via email or in-app notice at least 30 days before they take effect. Continued use after changes constitutes acceptance.

14. Governing Law

These terms are governed by the laws of the Republic of Poland. Any disputes shall be resolved in the courts of Warsaw, Poland.
