1. Who We Are

Qonvio ("we," "us," or "our") is an AI-powered receptionist platform that helps service businesses respond to customer messages and book appointments automatically. Our service is operated by Qonvio, contactable at support@qonvio.com.

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password. If you sign in via Google OAuth, we receive your Google profile name and email address.

Business Information

You may provide your business name, services offered, business hours, timezone, and contact details. This information is used to configure your AI receptionist.

Google Calendar Data

If you connect your Google Calendar, we access your calendar's free/busy information and create calendar events on your behalf when appointments are booked. We request the following Google API scopes:

  • calendar.freebusy — to check your availability and avoid double-booking
  • calendar.events — to create and cancel appointment events in your calendar

We store OAuth access and refresh tokens securely to maintain your calendar connection. We do not read, store, or process the content of existing calendar events beyond free/busy status.

Customer Conversations

Messages exchanged between your customers and the AI receptionist (via WhatsApp or SMS) are stored to provide the conversation history, enable human handoff, and improve service quality. Customer contact details (name, phone number) are stored as contacts in your business account.

Usage Data

We collect standard analytics data (page views, feature usage) via Google Analytics and Umami to improve our service.

3. How We Use Your Information

  • To provide and maintain the Qonvio service
  • To book and manage appointments on your behalf
  • To check your calendar availability for scheduling
  • To send email notifications (verification, password reset, booking confirmations)
  • To improve and develop new features
  • To provide customer support

4. Data Sharing

We do not sell, rent, or trade your personal data. We share data only with:

  • Service providers — infrastructure partners (hosting, email delivery, payment processing) who process data on our behalf under strict agreements
  • AI providers — conversation content is sent to OpenAI for AI response generation, subject to their data processing terms
  • Legal requirements — when required by applicable law or legal process

5. Google API Services — Limited Use Disclosure

Qonvio's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google Calendar data to check availability and create/cancel appointments
  • We do not use Google data for advertising or marketing purposes
  • We do not sell Google user data to third parties
  • We do not use Google data for purposes unrelated to the Qonvio service
  • Human access to Google data is limited to debugging and support, with user consent

6. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), encrypted storage of sensitive credentials (OAuth tokens), and access controls. However, no method of transmission or storage is 100% secure.

7. Data Retention

We retain your data for as long as your account is active. When you disconnect a Google Calendar integration, we immediately delete the stored OAuth tokens. When you delete your account, we delete all associated data within 30 days.

8. Your Rights

You have the right to:

  • Access, correct, or delete your personal data
  • Disconnect third-party integrations at any time
  • Export your data
  • Delete your account
  • Revoke Qonvio's access to your Google account via Google Account permissions

9. Cookies

We use essential cookies for authentication and session management. We use analytics cookies (Google Analytics, Umami) to understand usage patterns. You can disable non-essential cookies in your browser settings.

10. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or an in-app notice. Continued use of the service after changes constitutes acceptance.
